Payment terms that get you paid faster
- Shorter terms: Net 15 or “due on receipt” usually beats Net 30. Agree them in your contract first.
- Deposits: ask for 30% to 50% upfront on new clients and large projects.
- Easy payment: include a card or ACH payment link. Card fees (about 3%) can be worth it if you get paid weeks sooner.
- Late fees: state them on the invoice and in your contract. Check your state’s limit on interest.
- Milestone billing: invoice after each phase of a long project instead of waiting until the end.

Invoice numbering
Use a simple, sequential system that never repeats:
- Year + number: 2026-001, 2026-002.
- Client code + number: ACME-001.
Sequential numbers make bookkeeping and tax time easier and look professional.
Invoices and taxes
- Your paid invoices are the core of your income records. With fewer 1099s under the new $2,000 threshold, they’re often the only record of what you earned.
- As a cash-basis freelancer, you report income when you’re paid, not when you invoice. A December invoice paid in January counts next year.
- Charge sales tax only if your state taxes your service or product. Many services are exempt, but digital products often aren’t.
Common invoicing mistakes
- Vague descriptions (“Design work”). Itemize so the client’s accounts team can approve it fast.
- Sending it to the wrong person. Ask who handles accounts payable.
- Missing PO numbers, which big companies need to process payment.
- No due date. “Upon receipt” is better than nothing.
- Waiting weeks to invoice. Send it the day the work is delivered.
